Let AI prepare the draft. Humans still decide, act, and send.

Use AI to organize approved, minimum-necessary information; check a draft against a current source; flag what is unknown; and prepare an escalation handoff. Do not let it search customer systems, promise an outcome, change an account, or contact a customer.

Short answer: treat AI as a source-bound drafting clerk, not a customer-service agent with invisible authority. Start with one case, a current approved source, the minimum necessary information, and a named decision owner. Ask AI to produce a neutral draft and a gap list. If the source, identity, authority, data boundary, or outcome is unclear, stop at a `needs_review` handoff.

Keep customer and business data out of unapproved tools. Do not enter passwords, payment data, account identifiers, health or financial data, private correspondence, security details, or anything your organization has not approved. This local worksheet only makes text in the browser; it cannot send, save, look up, or change anything.

Organize an approved case summary, compare supplied policy language to a draft, identify missing evidence, turn approved facts into plain language, prepare a neutral summary, and route the case to a named reviewer.

Always human-owned

Identity and account verification; source truth; refunds, adjustments, payments, pricing, coverage, eligibility, disputes, safety/security/privacy responses, regulated advice, customer sends, public claims, ticket/account updates, and every final decision.

Bound the case before you draft

Write the customer’s stated need, channel, time sensitivity, case label, and what is out of scope. Flag emergency, safety, fraud, security, threat, vulnerable-person, or regulated issues for the organization’s approved human process immediately.

Bind every usable statement to an approved, current source

Record the policy, product, price, status, or process source; version/effective date; source owner; and reviewer. A model answer, old ticket, search snippet, or customer assertion is not a source of truth.

Set data and authority boundaries

Use only the minimum approved information. Name what the tool must not receive. Confirm whether an approved process has verified identity and whether a named human can make the requested decision. Unknown means stop.

Draft for clarity, not for authority

Ask AI for a short neutral acknowledgement, source-bound information, missing-evidence markers, and the next human-owned step. It may not invent a timeline, admit fault, promise a resolution, interpret a policy, or decide an exception.

Hand off a review packet or escalate

Package the source, version, draft, unknowns, data boundaries, and named reviewer. The reviewer may approve, revise, reject, or escalate. The status stays needs_review until that person acts in an approved system.

Failure modes that make support automation unsafe

Fluency mistaken for a policy answer

Generative systems can confidently produce false or inconsistent text. Retain the current source and its owner; mark unverified material as unknown instead of smoothing it away.

Draft treated as a send-ready commitment

A warm apology can still admit fault or a helpful promise can create an obligation. Keep the draft unsent until a named owner checks the source, authority, tone, and case specifics.

Too much data in the prompt

Do not turn support convenience into a data export. Use an approved environment, minimum necessary inputs, least privilege, and the organization’s retention/security rules.

Escalation delayed by a chatbot loop

Fraud, security, safety, privacy, legal, regulated, payment, dispute, and vulnerable-person issues need the approved specialist route. AI can label a concern; it cannot investigate or decide it.
